Who you are

The Administrator for CIVAS National Client Services role will support the Administration Functions of the CIVAS Client Services team.

Operational

  • Maintain administrative functions for CIVAS operations. Full understanding of and ensures that company policies and guidelines are interpreted correctly and followed in the operation of the business. Formulate best practices, new policies and guidelines as needed

  • Support the training of any applicable new hires and maintain new-hire administrative training materials.

  • Act as a trusted partner, building strong relationships with the management team through timely, relevant, thorough, and tailored communication

Functional - Client Services

  • Responsible for processing bid requests, via email, client portals, etc.

  • Coordinating new job entry requests

  • Checking the CIVAS database for prior work experience

  • Preparing and sending Colliers Professional Service Agreements to clients

  • Accepting, signing and/or returning engagement letters for new awards

  • Managing database of client specific job handoff emails

  • Delivering completed reports to clients through e-mail and/or various portals

  • Creating and submitting retainer invoices

What you bring

  • Basic / Minimum Education requirement to perform the job: High School

  • Preferred educational requirements to perform the job: College/University Degree in Business Management

  • Relevant Years of experience required to perform the role: 1 to 3 years of exp

Bonus skills and experience

  • CRE experience/background to perform the role: Preferred

  • Ability to work in a fast-paced team environment.

  • Proficient in Microsoft Office 365 (MS Outlook, MS Word, MS Excel)

  • Precise, high-quality, and consistent work output is essential.

  • Dedication to meeting the expectations and requirements of internal and external customers.

  • Able to orchestrate multiple activities at once; ability to prioritize multiple deadlines.

  • Attention to detail with emphasis on accuracy and quality.

  • Excellent verbal and written communication skills.
